Booking and intake for Live Scan and fingerprinting services

Every Live Scan appointment starts with the same questions: which agency, which ORI, which level of service, do you come to us. NotaryBook asks them on the booking form, reads the applicant's Request for Live Scan Service form to pre-fill the answers, and quotes group jobs for employers and schools.

Sounds familiar?

The pain we built NotaryBook around

  • Applicants arrive without the form or with the wrong ORI

  • Explaining rolling fees and DOJ/FBI fees on every call

  • Employers wanting 30 people fingerprinted on site, by quote

  • Competing with the office down the street on Google Maps

What NotaryBook does about it

Built for live scan operators

Apostille and Live Scan intake helpers

Customers upload the document or Live Scan form; the site works out what it is.

A photo of a document is classified (vital record, notarised affidavit, federal), checked for county-clerk-first requirements and Hague-country destination, and turned into a pre-filled apostille order. The Live Scan helper reads the Request for Live Scan Service form to capture the ORI and application type.

Online booking with deposits

Customers pick a service and a slot, pay a deposit or in full, and the slot is held.

Per-service durations, travel buffers, deposit rules (none, fixed, percent, full) and intake questions. A slot is held for 30 minutes while Stripe Checkout completes; abandoned checkouts release it automatically. Mobile services check the address against your service area before booking.

AI receptionist by text and phone

Answers after-hours questions, quotes prices from your own price list, and books.

The receptionist works from the services, prices, hours and service area you configured and uses the same availability engine as the site. It can propose slots, create a booking and send the payment link. Anything it cannot answer is handed to you with the transcript. Voice runs on the same tools.

Text confirmations and reminders

Confirmation on booking, reminders 24 hours and 2 hours before, a review ask afterwards.

Customers opt in at booking. Replies work: C to cancel, R to ask for a new time, STOP to opt out. You get a text when something needs your attention. A dedicated number is assigned to your business.

Local SEO and AI-search ready

Service-by-city pages, structured data, sitemap and an llms.txt, generated for you.

Clear service, price and service-area pages with LocalBusiness, Service, Offer and FAQ structured data; a landing page for each service in each city you serve; robots rules that welcome Google, Bing and the AI answer engines; and a plain-text summary so ChatGPT, Perplexity and Claude can find your real prices and hours.

Review requests, listings and a weekly digest

Ask for reviews automatically, keep your business details consistent everywhere, see the week at a glance.

Completed bookings trigger a review request with your Google link. The listings manager keeps your name, address, phone and description identical across Google Business Profile, Apple, Bing, Yelp and the rest. Monday morning you get one email: bookings, revenue, cancellations, reviews and suggested posts.

Your site

What your NotaryBook site includes

  • Mobile Live Scan, in-office Live Scan and FD-258 ink-card services with separate durations and deposits
  • Group fingerprinting as a request-a-quote service with an intake form
  • A Live Scan form helper that captures ORI, application type and agency from a photo
  • FAQ pages that answer the questions applicants actually search for

Questions live scan operators ask

Does it know the ORI codes?

The helper reads the ORI and application type from the applicant's form. An admin-maintained ORI directory, seeded only from official sources and flagged for verification, is searchable in the wizard.

Can I take walk-ins and appointments?

Yes. In-office services use your office hours; mobile services use travel buffers. Walk-ins simply are not booked through the site.

How do group jobs work?

Group fingerprinting is a quote service: the employer describes the job, you get the request by email and text, and you follow up with a price. No deposit is taken until you confirm.
